ToolboxAI Data Options

ToolboxAI → Settings → Data Settings has three toggles that control what data ToolboxAI pulls in and how it's handled before it's sent to an AI provider.

Roll up activities to a contact's primary account​

When enabled, activities (Tasks, Events, and messages) tied to a Contact are also rolled up into that Contact's primary Account context. This gives the Activity Summarizer and RecordAI a fuller picture on Account records by pulling in activity from the people associated with it, not just activity logged directly on the Account.

When enabled, RecordAI also pulls in child/related records (like Opportunities, Cases, or related custom objects) when generating a response, not just the fields on the record itself. This gives more complete answers but means more data is gathered per request — leave this off if you only want RecordAI reasoning over the record's own fields.

This feature is in Beta.

Enable data masking for Extractor AI​

When enabled, ToolboxAI scans record fields, activities, and related records for personally identifiable information (like email addresses and phone numbers) and masks or pseudonymizes it before that data is included in any prompt sent to OpenAI or Claude. This reduces the PII that leaves your org as part of an AI request. It's on by default.

Saving changes​

  1. Go to App Launcher → ToolboxAI → Settings tab.
  2. Click Data Settings in the left-hand nav.
  3. Toggle the settings you want.
  4. Click Save.

These settings apply org-wide, across all users of ToolboxAI.
