Customizing Prompts

ToolboxAI lets you add your own instructions to the prompt the Activity Summarizer sends to the AI, so summaries reflect how your business actually wants activity described.

Add summarization instructions​

  1. Go to App Launcher → ToolboxAI → Settings tab.
  2. Click Custom Prompts in the left-hand nav.
  3. In the Summarization Instructions field, enter the instructions you want appended to the activity summary prompt (up to 255 characters).
  4. Click Save.

For example, you might add instructions like:

  • "Always call out next steps as a separate bullet list."
  • "Use a formal tone — this is read by executives."
  • "Flag any mention of a competitor by name."

These instructions are appended to every Activity Summarizer prompt org-wide — there's currently no way to set different instructions per object or per user. Keep instructions short and specific; at 255 characters, there isn't room for a long style guide, so focus on the one or two things that matter most for how your team reads summaries.
